Ref: Mayor’s Office of Emergency Management - AV Bid Response
Dear Martin:
I have reviewed the bid responses from the three audiovisual vendors, for the Mayor’s Office of
Emergency Management Audio/Video systems in the World Trace Center. As you know, I have
given the A/V contractors a chance to review their responses for errors; I am pleased to report
that the vendors have submitted valid responses. I have attached a spreadsheet breakdown of the
bid responses which shows the division of costs as specified in the bid documents.
Two items in the AV bid package which will have to be looked at are the taxes and the Electrical
Contractor installation costs. Ace Audiovisual did not include taxes; therefore!, we will omit
taxes from all the bids in the interests of comparison only. The City of New York is still
responsible for any and all applicable taxes.
Ace indicates electrical installation as a separate lump sum, HB Conununications and Verrex
included electrical installation in their installation figure.
Having equalized all the bids, Ace is low bidder by $35,416. Ace is both qualified to install this
project as specified and they have met all the qualifications of the specification.
A pre-award meeting should be arranged with the Ace Audiovisual to go over the equipment
item list, finalize all equipment, taxes. Schedule of Completion, Electrical Contractor installation
work and Service Contract price.
